DESCRIPTION
The Service Administrator supports the service department by assisting with administrative tasks related to equipment service and repair. This role is ideal for someone looking to start a career in the heavy equipment or industrial services industry. Training will be provided to develop skills in service coordination, documentation, and customer support.
Key Responsibilities
Administrative Support
- Assist Service Manager with distributing service bulletin reports to dealers and customers
- Enter warranty claims into internal server and e-Emphasys and assist with creating and distributing credit memos
- Assist with creating and updating service work orders in e-Emphasys
- Enter service information such as labor hours, parts used, and job notes into the e-Emphasys system
- File and organize service records, inspection forms, and reports
- Other duties may be assigned by the Service Manager
Service Coordination
- Support the service team with day-to-day administrative needs
- Create follow up emails for any unresolved machine issue(s) with dealers and customers until issue(s) are resolved
Customer Support
- Answer incoming calls and emails related to service requests
- Distribute service-related phone calls to appropriate personnel via Zoom phone system
- Provide basic service updates to customers under the guidance of the service team
- Direct customer inquiries to the appropriate team member
Billing & Documentation
- Assist with preparing service invoices and paperwork
- Learn warranty and service documentation processes
Qualifications & Skills
Required
- High school diploma or equivalent
- Basic computer skills (Microsoft Office or similar systems)
- Strong attention to detail and willingness to learn
- Good communication and organizational skills
Preferred
- Previous office, customer service, or administrative experience
- Exposure to construction, mechanical, or industrial environments
- Interest in equipment, mechanics, or service operations
